Privacy Policy
Effective October 2026.
What we collect
- Account: your name, display name, email address, and a hashed password. We also record when you confirmed you are 21 or older and accepted the Terms.
- Profile: an optional passport photo, your leaderboard and passport-sharing choices, and the members you block.
- Visits and stamps: the lounges you stamp, visit dates, the cigars you log, and your private visit notes.
- Reviews and lounge notes: star ratings, review text, and any lounge details you add or edit.
- Photos: lounge photos you upload, captions, and whether you shared them.
- Humidor: the cigars you track, quantities, notes, and photos.
- Physical passport requests: the name, email, mailing details, and notes you enter on the pre-order form.
- Technical data: a session cookie that keeps you signed in, and standard server logs (such as IP address and browser type) used for security.
How we use it
- To run your passport book, stamps, humidor, leaderboards, and contests.
- To show what you choose to make public: your display name on reviews and shared photos, and your passport book if you share its link. Private visit notes and your humidor are never public.
- To send account email, such as verification and password reset links, and to follow up on physical passport requests.
- To keep the community safe: moderation, reports, blocking, and preventing spam and abuse.
We don't sell your information and we don't show third-party ads.
Services we rely on
- Microsoft Azure hosts the site, its database, and uploaded photos.
- Azure Communication Services delivers our email.
- OpenStreetMap (Nominatim) turns lounge addresses into map locations. Only lounge addresses are sent, not member information.
These providers handle data only to provide their service to us.
How long we keep it
We keep your account information while your account is open. When you delete your account, your profile, passport, visits, reviews, photos, and humidor are removed from the live site, and any copies left in routine backups are removed as those backups are replaced over time. Physical passport requests are kept until the request is fulfilled or cancelled, plus a reasonable period for records. Server logs are kept only as long as needed for security.
Your choices and deleting your account
- Edit your name, display name, email, photo, and sharing settings on your Profile.
- Delete individual reviews, photos, visits, and humidor entries at any time.
- Delete your whole account from the "Delete account" section of your Profile. It takes effect right away.
- If you can't sign in, or want us to delete or export your data, email support@thecigarpassport.com.
Age
The Cigar Passport is only for adults 21 and older. We don't knowingly collect information from anyone younger. If we learn an account belongs to someone under 21, we delete it.
Changes and questions
If we change this policy in a meaningful way, we'll update the date above and let members know on the site. For questions, email support@thecigarpassport.com.
